Installation, Customization, and Security

Once you have decided which software you want to use, it has to be installed and, if desired, it has to be customized. You also need to set all applicable security options. It is impossible for us to include detailed installation and customization instructions for all the tools that we have referenced (or even a fraction of them). Instead, we have included some general information about the different types of tools. Installing Applications Collaborative tools, like most types of software, come in three flavors: -  Web-based and installed on your server. However, you can install these tools locally for testing purposes.

-  Web-based and installed on the vendor’s server. You license this software and are required to set up an account.

-  Local, which is installed on your hard drive. If you are not allowed to install software on your system, contact your IT department and see what kind of arrangements can be made. Before installing any software, verify the following items:

-  Your system and server meet the minimum hardware and software requirements (and, if possible, more than the minimum). Install any necessary software, such as PHP or Perl, before installing the application. If necessary, make sure a Java Virtual Machine is installed.

-  You can access any web-based software through your company firewalls.

-  Your connection speed is fast enough.

-  You have the required permissions to install additional software that might be needed (such as ActiveX). -  You have tested your microphone and headset. Using Fantastico Fantastico, which is included with some cPanel servers, includes more than 50 open source applications that can be installed on your server. (cPanel, a proprietary graphical website management tool, helps administrators update and maintain their servers.) These applications include: -  Blog software (b2evolution and WordPress) -  Wikis (TikiWiki and PhpWiki)

-  Calendar (WebCalendar)

-  Image galleries (4images Gallery, Coppermine Photo Gallery, and Gallery)

-  Discussion boards (phpBB2) Open the Fantastico panel, select the software you want to install, and follow the directions (which usually requires accepting the defaults and clicking OK).

Note: A blog entry at Drupal strongly suggests Fantastico not be used for the installation.

More information is available at the Drupal site at http://drupal.org. General Installation Notes Some general notes on installation:

-  Collaborative software suites tend to be a bit more complicated to install on your own server, but only because there are more pieces involved (such as PHP, Perl, SQL, and so on, which must be installed first).

-  Software that is installed on your server could require root access or extra permissions.

-  Most instant messaging (IM) applications are installed locally on your system after downloading the executables from the websites. Windows Live Messenger (formerly MSN Messenger) will be included with Microsoft Vista, and iChat is included with Macintosh systems. (Previous versions of Microsoft Windows included MSN Messenger and Windows Messenger.) If you are not allowed to install applications because of company policy, check into browser-based clients or see if a security application resolves the issues. For example, AIM Express (http://www.aim.com/get- aim/express/ aim- expr.adp), a chat application available to anyone with an AIM or AOL account, does not require ActiveX or Java.

1. Customizing Applications
Customizing Applications After the software has been installed, you might want to customize it. How you customize an application varies, depending on the tool and its functionality. For example, templates let you change the “look and feel” for wikis and blogs, but you cannot customize how RSS feeds display. Some applications, like collaboration software suites, wikis, and hosted blogs, let you apply standard themes, changing the “look and feel” without having to modify any ...

2. Collaborative Software Suites
What we categorize as “collaborative software suites” is sometimes known as “groupware” or “computer-supported cooperative work.” According to Wikipedia (http://en.wikipedia.org/wiki/computer- supported- cooperative- work), some authors see a difference between cooperation and collaboration because of the way tasks are divided. Cooperation is when the results of independent subtasks are merged to create a final deliverable. Collaboration requir...

3. Meeting and Communication Tools
Meeting and communication tools provide ways to communicate in real time with other team members by typing, by voice, or by video (or by all three). Some tools include chat rooms, file transfers and application sharing, among other features. Typically, all participants must have compatible software installed, and may need a headset, a microphone, and a video camera. The following types of tools are included in this category: -  Instant messaging (IM) applications -  Voi...

4. Information Broadcasting Tools
Information broadcasting applications are used to distribute information to team members and others. The types of applications that we include in this category are as follows: -  Blogs (short for weblogs) are online journals that let you combine text, images, and hyperlinks. -  Podcasts (audio) and vodcasts (audio-video) let team members retrieve information on demand, unlike presentations and webinars that are typically scheduled. With very little equipment, you can create...

5. Wikipedia
One of the largest wikis is Wikipedia, an online encyclopedia with over 1 million articles in English alone, and a continuously expanding library in other languages. Wiki software can be described as coming in one of two flavors: -  Wiki only, with a minimal feature set (minimal registration process, history, page locking, and IP blocking). MediaWiki, the wiki software used for Wikipedia (http://wikipedia.org), is wiki-only. -  Full-featured management ...

6. RSS feeds
RSS Feeds and Other “Push” Technologies Emails, Faxes, and Voice Mails Emails, faxes, and voice mails are technologies familiar to many people. However, there are some things that you should be aware of when using these technologies to send information to your team: -  Never send more than one fax per day (or per couple of days). In many cases, it is a waste of resources (like paper), and of the three technologies, faxes tend to be the most irritating when received too freque...

7. What is a BLOG
News outlets today are abuzz with stories about blogs. In January 2005, Fortune magazine featured a story called “Why There’s No Escaping the Blog.” In May of the same year, “Blogs Will Change Your Business” screamed from the cover of Business- Week. Blogs have become so hot that some mainstream TV news reporters are quoting from the more popular blogs on the air. Unfortunately, despite all the press coverage, little is being published about how blogs can benefi...
